The process for the booking of fixture slots differs slightly from the process of block training bookings.
Applications for individual weekly fixtures are processed in a much swifter timeframe to allow quick notification of availability to enable clubs to make alternative arrangements should their preferred venue not be available.
Our understanding is that fixtures are usually notified on a Sunday each week for most leagues. The application form enables clubs to submit their applications immediately they know the details of the fixture for the coming week (Sunday/Monday). Important: Please ensure you add 'FIXTURE' after your group name on question 5 of the form. This will speed up the process of approval.
Documents do not need to be resubmitted by email if clubs already have approved hires in place as we will already hold affiliation, PLI, risk assessments etc.
On a Monday/Tuesday the central team and site staff will review the applications that have been submitted for fixtures the following weekend.
Both groups of staff will approve or reject the applications based on availability on Monday/Tuesday each week if applications are submitted by Monday lunchtime. This will enable automated notifications to be sent to the clubs so arrangements can be made for the forthcoming fixtures.
Fixtures applications will be treated as priority at the start of each week to support our valued football groups.
Weekly fixture hires will be charged and invoiced per fixture hire application. Training block bookings for the year are invoiced on one invoice for the block where Direct Debit options are available to spread the cost across the year.
The current yearly let would be cancelled, and you would be invoiced for the sessions that you have used. If you kept this let, you would be charged for what has been booked, as opposed to what you use. Going forward, match lets would be submitted at the start of the week, as per the process above, and you would be invoiced for the sessions that were booked.
Please refer to our Terms and Conditions of Hire for further information on the hire agreement, payment terms, insurance and liability, termination and cancellation and dispute resolution.
